Coordinator, Leadership Development Programs (Temporary)

Summary: Provides operational and administrative support for ASTHO’s leadership development programs and related learning initiatives (ALI, DELPH, ELM, BSL, Change Management, and annual Leadership Forums). Ensures seamless coordination across program planning, participant engagement, and event logistics. Primary functions include organizing program and team deliverables through ASTHO’s platforms and processes; managing communications with participants, facilitators, and partners; and supporting contracts, invoicing, and payment processes for facilitators and vendors.

Location: Remote

Anticipated pay rate: $32.00/hr.

Hours & Duration: Working hours are 37.5 per week. This is a temporary position with at least a 6-month engagement. There is no guarantee this will turn into a permanent role, though we are exploring that avenue.

Principal Functions:

  • Establish and maintain project boards in Monday.com with timely details, updates, follow-up, and communication
  • Coordinate logistics and timelines for leadership programs and events, including scheduling, speaker preparation, and participant materials
  • Organize, update, and share guidance documents, support materials, and timelines for leadership development programs and initiatives
  • Manage leadership team calendar ensuring that it stays up to date and corresponds with the OneASTHO calendar
  • Schedule, organize, and participate in meetings, calls, and other gatherings, taking notes and tracking follow-up steps as necessary
  • Provide support for monthly Leadership and Learning Unit meetings, weekly reporting from Senior Directors, and quarterly Unit reports
  • Perform general administrative duties, such as calendaring, data entry, communications dissemination, travel planning, and report preparation
  • Assist with contract processing, expense reporting, and check requests in ASTHO’s system, JAMIS
  • Serve as a primary point of contact for virtual learning program participants ensuring clear communication and high-quality customer service
  • Generates project status reports and updates for each leadership program
  • Support the maintenance of various products such as e-courses, videos, and webinars to determine, record, and share content details, and identify update needs
  • Respond to project and team needs with timeliness, creativity, flexibility, and quality work

Qualifications:

  • Bachelor’s degree preferred
  • Minimum 3 years of experience supporting programs or project operations, including coordinating activities, managing competing deadlines, organizing resources, and ensuring the accurate completion of detail-oriented tasks
  • Demonstrated proficiency in using office productivity tools to create documents, manage calendars, track tasks, and communicate effectively
  • Willingness to continuously learn and utilize new technological platforms and systems, including use of generative AI to enhance productivity
  • Ability and willingness to travel (on an as-needed basis, and generally does not exceed 10%)
