Coordinator, Leadership and Organizational Performance

Location: Arlington, VA

Summary:  Provides administrative support to the Senior Vice President of Leadership and Organizational Performance and the Advisor, Performance Improvement and Change Management.

Principal Functions:

  • Organizes and prioritizes time-sensitive assignments and deliverables, coordinates required division updates, and monitors completion of tasks and assignments.
  • Manages the SVPís and Advisorís calendars and sets up meetings. Prioritizes inquiries and requests while troubleshooting conflicts; makes judgements and recommendations to ensure smooth day-to-day engagements.
  • Works closely with the SVP and Advisor to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the SVP updated.
  • Anticipates needs in advance of meetings, conferences, etc. Collects and preparess information for meetings with staff and outside parties.
  • Makes travel and accommodations arranagemments.
  • Completes expense reports, reconciles monthly credit card statement.
  • Coordinates and provides meeting planning, technology and logistical support for monthly L&OP leaders meetings and division meetings.
  • Coordinates process to collect information from L&OP staff for weekly reports to the Executive Leadership Team and reports to the ASTHO Board.
  • Performs research and prepares briefing materials and/or written summaries including memos and meeting minutes. Edits documents as required.
  • Organizes and maintains a system to efficently store L&OP electronic files on Microsoft Teams, Sharepoint, and network drives.
  • Monitors and assists with updating L&OP webpages.
  • Works closely with the Communications Team to promote L&OP work and events.
  • Attends meetings either in person or remotely and provides notes.
  • Ability to periodically participate in after-hours or weekend work to support events, conferences, and other functions.


  • 3+ years in a similar position providing executive administrative support.
  • Bachelorís degee preferred
  • Experience working for membership association or grants funded organization preferred.
  • Excellent computer skills including Microsoft Office Suite and Zoom.
  • Excellent interpersonal skills.
  • Excellent organizational and written communication skills and attention to detail.
  • Excellent judgement. Ability to make appropriate, informed decisions regarding priorities and available time.
  • Ability to manage diverse, often competing, priorities with positive outcomes.
  • Experience as a virtual assistant or working in a remote or hybrid work environment
